We would like to have a master calendar of all locations/rooms on campus that are used for events that could be added as a shared calendar. We often rent our facilities to other schools, community groups, etc, and need a way to keep track of scheduled events, but we do not want these events on our main School Calendar. I know that we can add the calendar for each location individually, but it would be much easier to have a master calendar for this purpose.

Adam Sentz Official comment While it doesn't exactly match the functionality described in this request, Campus Life > Facilities Schedule might fit the bill for some.

Debbie Jones We'd also love this option. Right now we have a person who's job it is to enter each class, event, study room reservation, etc. into a separate Google calendar. I'd love to free up his time for something more productive. Thanks!

Emily Minnema I like the idea of a master calendar. We could use it for events and meetings. This also could be a way for us to possibly have students sign up for appointments. We have students that need to make financial aid appointments all the time and it would be nice if they could just sign up on Populi. This actually could be helpful for all of our staff. We could set open appointment blocks for students and they could sign up based on the open appointments.

Leo Postovoit 100% for us! It would be fantastic if we could also use smart scheduling to determine rooms as well. It's currently a 3 month process for two people to get our classes scheduled... A robot inside Populi could totally do this.

Denise Mokma I would also like to use Populi for room reservations. Now we pull the data into a different system for that. If folks could login to their Populi account and use that to request a room reservation, that would really simplify things. Either they could just sign up for a room, or maybe we could have a 'moderator' that reviews requests and assigns rooms?

Rhonda Haynes Having a master schedule that shows rooms and classes by term/month/week would be amazing. Even in this digital age it is often important to be able to "view" or "print" a master schedule for various reasons. Please add this option to a future release.

Adam Sentz Arlene Moe - Have you checked out Campus Life > Facilities Schedule?

Jason Van Vliet Arlene - Perhaps I'm not fully understanding your needs but if you add an event to the "School Calendar" and then go to "More" and choose a location (i.e., a certain room), then it does show up on the facilities schedule, even though it's not part of any course. Is that sufficient for your purposes?

Adam Sentz In case anybody doesn't know: You can add room calendars in Calendar, and then add events to rooms. As long as the room isn't associated with a Room Plan the events should appear on the Facilities Schedule.

Kyle Davis Yes please! Would especially like to have open appointment slots for students to sign up to.

Arlene Moe This would be very helpful for us as well since we often schedule events other than classes in classroom space. It would be great to have one place where all those spaces can be viewed so we can see any conflicts across the board. Right now we use a different calendar system for events and Populi for scheduling classes.

Arlene Moe Adam Sentz - Yes, I use that feature all the time. If we could have a separate way to enter events that would not require us to add them as classes, and if we could choose to add the events as a "campus" to the Facilities Schedule, that would be amazing! Perhaps there is already a way to do it that I'm unaware of right now.

Jessica Babaker Visibility options (like a "visible to staff only" checkbox) on School Calendar events would solve the problem of being able to...
- schedule things that don't belong to a particular course;
- hide things from the students/general school population;
- reserve room space so things appear on the Facilities Schedule and aren't double-booked.
We use the School Calendar for rentals and never considered wanting to make those events hidden.
In the absence of such a visibility feature, users can just limit the information they include in the calendar event, and give it a general name, like "Reserved".

Denise Mokma I see the only option is to delete a building when we're done with it. Could it be an option to retire a building, like many other things in Populi?
-
Arlene Moe Jason - That's a start! I'll explore that option and see if we can make it work for our needs. Thank you, Adam and Jason!

Josiah Stephan I think there is a way to do this.
