Automated Incomplete Function

Greetings,

Is it possible to have Populi automatically alert the registrar and/or professor when an incomplete has expired? For example, if a student is granted an incomplete status, then they have an additional 30 days to complete the work. It would be nice to set some rules for this option so that if they wanted to an automatic "F" could be registered (say) 45 days after the course has ended, but no work has been submitted. Or at least a notification to alert a professor or registrar that such and such course has some students in an incomplete status. Thanks for your help.

  I second and third this!  Though of course it is easy to pull up the academics page and scan down the list for any courses with outstanding incomplete grades, without some automated functionality, they can get lost in the shuffle.

  I would like to add a little to this suggestion, as I have recently been wondering how best to help professors to finish courses for Incomplete students.

  1) Using the alerts that already exist, an alert(reminder) could be scheduled to appear on a professor's dashboard home page.  Something like: There is 1 or more incomplete grades in [course name]  Clicking on the alert would direct the professor to that particular course roster, in the same way that file type submission alerts are currently handled.  Alert will only go away, when the professor submits a grade for all incomplete students.

  • Alerts could be scheduled as an Academic Setting.  This would allow each institution to define the schedule based on their policy for incomplete grades.  2 options for setting reminder: 1) so many days after an Incomplete grade is assigned, 2) so many days after the last day of the course
  • Alert could be sent to the student as well, on the same setting.
  • Could also be listed as an automatic To do on the professor's calendar.

  2)  An automatic email to the professor could also be issued, as not all professors check Populi on a regular basis.  Particularly after the end of a term, as they are likely to forget about an incomplete. (Hence the reason for the suggestion)

  3) An Academic Setting to allow any expired Incomplete grade to have 0 automatically placed in the grade book for any ungraded assignments and/or final grade (as is in the original suggestion).  Though not all professors use the E option for a grade and instead leave blanks for assignments that do not need to count toward the final grades, causing a problem for the professor. (Though might be a reason to encourage Faculty to use the E option)

  • This could be activated or deactivated based on the institution.
  • It could be set for a certain number of days after the end of the course or after the incomplete was first submitted.
  • An email notification is sent to the professor, which gives them notice of the expired time frame and the process that Populi has taken.

   

  I did find that the Registrar can sort the list of courses in a given semester by Inc. (Incomplete)  I did not clue into the abbreviation until reading this discussion.  So Registrar's have a reasonable way to identify which course(s) have incomplete grades and can then contact the Faculty for the course.  However, if the list is rather lengthy this could be a rather time consuming, arduous task.  Also the time frame might vary from course to course depending on the time the incomplete was assigned and what the arrangements/polices are at the given institution.

  I've noticed that Populi had separated the "Incomplete" from the others (Enroll, Audit & such).  Maybe they are ready to input an Incomplete expiration date?  :)

  Nope, no field for an incomplete expiration date (which will automatically close a student's incomplete), yet.  It would be nice, though...
