Administrators in Populi who have no association with billings or payments have been receiving Overdue Notices from Populi's Billing System. Those notices should only be sent to Billing Contacts or other designated destinations, since the information should be restricted those who need to know, only. Angela Sapp CPA, MBA - Populi Account Administrators are effectively the Populi account "owners"and ultimately responsible for paying the bill - so we aren't going to add a feature to disable notifying them when a bill hasn't been paid in a timely way. If that description doesn't fit someone who is a PAA it may be worth considering whether they should be one or not, but that's entirely up to the school to decide.
I think the issue here is that we recently made a change to the notifications. We used to not notify until later in the month. This meant that if someone paid via check and we didn't get the check the customer wouldn't be notified until it was likely too late to do anything about it (assuming paying via check is the only method available to them).
A couple months ago we changed it so that the notification would happen 14 days before the end of the month - after all automatic payments should have been made, but with enough time left in the month to mail another check if something had gone wrong. And believe me, things go wrong with mailed checks.
Anyway, we are still working the kinks out with the new system, and this month we failed to process checks on the last business day before the 16th. So if your check arrived after the 9th it wasn't processed until the 16th - after the notifications had gone out. We're sorry that that happened and will take steps to prevent that from happening again.
On a side-but-maybe-related-note, ACH payments work just like checks, but without the USPS getting involved. We find ACH payments run most smoothly for all parties, so if those are an option (we know they aren't always) for you we highly recommend using them.
