SIN numbers

I'm sure Populi is aware of CRA changes for the 2019 tax year regarding the T2202a form becoming the T2202, and required electronic filing related to this change. If you didn't know  yet - Surprise!

In anticipation of this change we realize the majority of our students do NOT have a SIN number attached to their profiles, as this is information we are only allowed to collect if needed. Until now, that's just been for T4A purposes.

Currently, we have to enter a student's SIN#, and only Finance people have access to it. Thinking about how to collect this information from students and get it into their profiles is going to be tricky under this scenario. With privacy laws we need to keep access limited so it makes sense that only finance people have access, but we also think that each student should have access to their own SIN#, so they can enter it themselves.

And if we need to collect this for every student, can it be a permanent field, rather than an additional field so that students don't have to go looking for it when we ask them to enter it?

  This is exactly what we have been wondering about as we work towards meeting CRA requirements.

  We have not been collecting SIN# because we didn't need it until now with this new CRA change to the T2202. How are other schools collecting SIN# in a secure way?

  We created an "application" with just a couple of questions (ie. Name, Update Contact Info, and SIN Number).  We sent the link to students who were missing the SIN number and when we "accepted" it, the SIN number automatically filled in the missing spot.  It worked well.  We just had to explain what we were doing when we sent the link and assured them that this was a legit request. :)

  We created a custom field on the Info tab that the student would enter their own SIN. We have a report in the Data Slicer that shows who has entered their number. Finance will then copy the SIN to the proper field and delete what the student has entered.

  Forms would work great for collecting SINs. If you aren't part of the beta reach out to Populi Support and ask to join.
