Residence Tab

Hello support team,

 

Due to Covid, we faced the complex scenario of welcoming students back into residence on campus in September. One of the things we have promised our students is a "touchless move-in." As part of the move-in, Residence Assistants complete a review of the state of the room- Room Checks (e.g. dents in wall, cracked mirror) and then show this review to the student, who signs off on it (for the purpose of damage deposit refunds at the end of the term).

We made it work this year, but it was a bit haphazard and not as accurate as it needed to me. We would like to continue doing Room Check forms online, but make them better. Ideally, we would like to streamline this process and have it on populi, for easy and quick assess. We would like this process to happen completely electronically, with both the RA and the student being able to complete their steps on their own phones.

Populi, we think, is an ideal vehicle for this interaction. We love how the custom fields in Term Info in the Student tab can be set to either "visible to student" or "editable by student", because we can make viewable custom fields for all of the areas under review, and an editable field where the student can indicate their confirmation of the review (then even if the student deletes this later, we can see it in Changes in their Activity Feed). The RA can enter the info and the student can see it appear in real time. These can also be placed in specific terms, making them easy to report on in the Data Slicer.

The Term Info in the Student tab is not an ideal location for this information, though. The biggest reason for this is that the RAs are fellow students to whom we do not want to give any access to other aspects of the Student tab, such as Transcript. Given that we want this interaction to happen in real time, rather than the RA submitting the data to a staff member with the appropriate Role to enter it on the record, we have the following request:

Our dream scenario is to have an entirely new tab created on students' records (alongside Student, Financial, Campus Life, etc.). This tab (titled Residence, or something like that), could have Term Info comprised of custom fields which would be reportable in the Data Slicer (these could be created by the Academic Admin, Registrar, and Campus Life roles). It would be nice to also be able to add a text blurb at the top of this tab with terms and conditions for students. Additionally, a new Role of Residence Assistant could be given to those students who will be RAs, and will provide access to view and enter the fields in this tab (but not have any other access).
