I would love to see Communication Plans evolve into a fully integrated communication automation system that responds intelligently to student engagement rather than simply following a fixed schedule.
Communication Plans are already a great feature, but they currently function as a timeline of scheduled emails, letters, and tasks. Modern communication requires the system to recognize when a student interacts and adjust automatically. Example: I have a student in a prospecting communication plan, the student actually takes action on admission or responds to emails yet they are still being prospected as the plan wasn't removed.
Below are some ideas that I believe would significantly improve Communication Plans.
Intelligent Pause and Resume
One of the most valuable improvements would be allowing Communication Plans to recognize when a recipient has replied to an email.
If a student responds, the plan should automatically pause to avoid continuing automated messages while a real conversation is taking place.
We could configure what happens next, such as:
- Pause until a staff member resumes the plan.
- Resume after a set number of days without additional communication.
- Resume after a task has been completed.
- End the Communication Plan entirely.
This would make communication feel much more natural and prevent students from receiving unnecessary follow-up emails after they've already engaged.
One way to accomplish this from a technical standpoint would be to allow us to connect our Google Workspace email accounts to Populi. Since Communication Plans already know which student each email is sent to, Populi could detect when a reply is received in the connected mailbox, automatically match it to the student's record, and pause the Communication Plan. It could then notify the assigned staff member and allow them to resume or end the plan once the conversation is complete. This would make Communication Plans feel much more natural while reducing duplicate or unnecessary follow-up emails.
Goal-Based Communication
Communication Plans should be able to end or transition automatically when a student reaches a milestone.
Examples include:
- Inquiry submitted
- Application started
- Application completed
- Accepted for admission
- Enrollment confirmed
- Tuition paid
- Orientation completed
- Registered for classes
- Graduated
Instead of continuing the same communication sequence, the student could automatically move into the next appropriate Communication Plan.
Conditional Paths
Rather than every recipient following the exact same path, Communication Plans should allow different outcomes based on engagement.
For example:
- If the email is opened, wait several days before sending the next communication.
- If the email is never opened, resend it with a different subject line.
- If the student clicks the application link, notify Admissions.
- If the student submits an application, skip the remaining recruitment emails.
- If there has been no engagement after several weeks, move the student into a long-term nurture plan.
Deeper Integration Throughout Populi
Communication Plans should be connected to nearly every area of Populi.
Examples of triggers could include:
- Inquiry created
- Contact created
- Contact requested information
- Application submitted
- Application decision entered
- Student registers for courses
- Payment received
- Balance overdue
- Academic warning issued
- Graduation approved
- Alumni record created
Likewise, Communication Plans should be able to perform actions throughout the system, such as:
- Assign staff tasks.
- Notify advisors.
- Change communication plans.
- Update contact status.
- Send emails, texts or letters.
- Schedule reminders.
Smarter Staff Tasks
Tasks should be generated based on student activity instead of only on dates.
Examples:
- Student replied to an email.
- Student viewed the application multiple times.
- Student abandoned an application.
- Student missed an appointment.
- Student has not responded after three emails.
This would help staff prioritize students who need attention instead of manually monitoring communication histories.
Complete Communication Timeline
Every student's record should display a comprehensive timeline showing:
- Emails sent
- Email opens
- Link clicks
- Replies
- Letters sent
- Staff tasks
- Notes
- Calls
- Status changes
- Applications
- Payments
- Registration activity
Having a single communication history would give every staff member immediate context when interacting with a student. I feel these could easily be accomplished with connected inboxes, which is a common feature on other CRMs.

The goal is to transform Communication Plans from a scheduled messaging tool into an intelligent communication platform that follows each student's unique journey.
Instead of simply sending emails on predetermined dates, Communication Plans would recognize engagement, respond to student actions, coordinate staff follow-up, and automatically guide students from their first inquiry through enrollment, graduation, and beyond.
I believe this would make Communication Plans one of Populi's most powerful features and significantly enhance lead generation and the experience for both schools and students.
