Locks and Pre-registration

Hi there,

After a meeting we had today, we have some concerns with students being able to register for classes ( technically our advisors put these students in their classes in populi).  The concerns comes when students have a financial balance on their accounts, we would like to detour these students from being able to register without speaking with an academic advisor.    I looked at the 'Registration Lock' but even after that is applied to the student, the advisor can still register/add the students to a class. 

 

Is there a pre-registration option?  Where advisors could still put students in classes, but they are not officially enrolled until the registrar makes this final.  Like with grades, and how they locked in/finalized? 

Or could we have a feature where we can put a banner across on a student's profile that says, 'needs approval before registration'?

  Hi Kayla,

  We've done a work around for this.  When a student registers for courses, we put a Registration Lock on them with a comment saying "Registration Locked for Review". This gives time for the registration to be approved.  Once the Registrar has approved their selection, we then change the Registration Lock Comment to say "REGISTRATION CONFIRMED."  This is the signal to the finance office that the account can be finalized and that any further changes need to be done using a Drop/Add form.  It is a bit time consuming, but it's been working well for us.

  Just a small note that might help.

  The concerns comes when students have a financial balance on their accounts

  There is a Financial Lock which the Financial role can apply.  Once it is applied it puts the same banner as the Registration Lock on the Student's registration and other various pages.  Registrars and advisors cannot override the Financial Lock, so a student has to have the Financial Lock removed before being enrolled in any course.

  Our Business Manager places a note "Please see Business Office" with the lock so that no Financial information is disclosed, but the student and advisor know what the student needs to do.
