Shared tasks for admissions staff

Right now Populi is designed so that each applicant or prospective student is assigned to a particular Admissions staff person. When a communications plan is applied to the applicant/prospect, the tasks are applied to one particular user.

This creates a big problem for us because we have a team of several admissions staff who jointly work on all of our applicants and prospects. In addition, we use a lot of student and volunteer workers who do simple tasks like followup phone calls. So, if we have a task to "Call Jim Smith", but it's assigned to one specific admissions staff member, the other admissions staff or student workers can't see that task and make the phone call.

We tried getting around this by assigning every new applicant and prospect to a generic "Admissions" user so that all of the tasks are in one place, and each of our students and workers can log in to that account, pick the next task on the list, and complete it. The problem is, only one person can be logged in to that account at once. So, this has created an even bigger problem because only one staff person can be working on tasks at one time.

I have three alternate ideas that would solve the problem:

  1. Allow multiple logins from different locations, so more than one person could log in with our generic "Admissions" account.
  2. Allow tasks to be assigned to more than one person. That way, when a communications plan is applied, we can assign it to all of our admissions counselors. * This is my favorite option *.
  3. Or, allow people with the Admissions role to see all tasks that were created from a Communications Plan, regardless of who they are assigned to.

Thanks for your consideration. This is a huge issue for us so we would appreciate a quick resolution, or any ideas about how to work around the problem in the current system!
