Communication Plan Sequencing
I’d like to request an enhancement to Populi’s Communication Plan feature to include functionality similar to other CRM automation sequences.
Current Limitation:
Right now, once a Communication Plan is assigned, every step runs in the set order and timing regardless of whether the contact responds or takes the desired action. This often results in unnecessary or redundant follow-up messages after someone has already engaged. Imagine a lead responds to your email set by your communication plan, while you are away from the office or you forget to turn off the communication plan that nurtures the student pipeline before the next templated email sends. This gives the appearance you missed their email or aren’t responsive.
Proposed Feature:
Add an “auto-pause on engagement” option for Communication Plans so that:
If the recipient replies to an email in the plan, the plan automatically pauses to give the staff to the respond. If no staff member responds, a task is automatically created to the assigned admissions staff member to respond.
If the recipient completes a defined goal (for example, submits an application form, schedules a meeting, or is moved to a specific stage in the Admissions process), the plan automatically stops or moves them to a different plan that the admin establishes.
Admins can then choose to manually resume the plan or enroll the contact in a new one, after the prospective student doesn’t follow-up to the previous engagement.
Why This Would Help:
Prevents sending irrelevant follow-ups after a person has already responded.
Saves staff time from manually monitoring and removing contacts from plans.
Creates a more natural, personalized communication flow that feels responsive rather than automated.
Optional Enhancements:
Ability to resume paused plans from the next step instead of restarting from the beginning.
Branching logic in plans so that “if the person responds, then do X, otherwise continue to next step.”
This change would make Populi’s Communication Plans function more like modern sales/admissions nurturing tools, while keeping all activity tracked within Populi.
